I am looking at the possibility of using Form and List to replace the functionality of an older 3rd party forms module. I really like the ease of use with Form and list and would be using it for submission of simple work requests from users to the admin. I know how to do all that...but the admin would like to simplify the workflow with an archive function similar to the one used in the DNN feedback module. In other words, after the admin has processed the work request, they do not want to delete it but archive it so it is available for future reference when needed. I have not seen this functionality available with this module, so am I missing something? Or is anyone aware of a simple workaround?  Thanks.

If the admin is reviewing outstanding requests using the list functionality then he could simply add a boolean field (true/false) to the form labeled (for example) [archive].  Then filter the list output for only those records where the [archive] field value is not equal to 'true'.  The second he edited a record and checked the [archive] field, that record would disappear from the list.  Then to access those archived records in the future you could add an additional page (has to be on a different page) with a copy of the form/list (reference) where the list is either filtered only to show those records where the archive field equals 'True' or alternatively leave it unfiltered and it will show all records both flagged for archive and not.

The field should be a 'Restricted Form Field" so your end users cannot modify it you may also optionally wish to uncheck  "Display on List"since it will be obvious the status based on which page you are viewing.

Thanks, it does help. But I did than and had trouble checking the functionality as to viewing and editing the field. When I chose the settings you recommended, the field did not display in the edit mode of the list. But then I was a bit lazy and did not sign out as host and sign in as an admin to check (this is harder than it needs to be in DNN). I will try it again.

If you are doing  testing it is helpful to run more than one browser (e.g. FF and Chrome, or IE) then you can have separate sessions at the same time and switch back and forth and refresh for previewing as different users,

OK, I think I have all that working now. I was just over-thinking it. A simple sort for the admin will group all the archived records i the display.
